Access to KIVO BPO’s systems and data must be controlled as follows:
a. Access Control Lists
Access to specific systems and data will be restricted based on access control lists (ACLs), which will be regularly reviewed and updated to ensure that access rights are appropriate and necessary for each user.
b. User Accounts
Each user will have a unique user account, which will be created by our IT department and assigned appropriate access rights based on the user’s job responsibilities.
c. Passwords
Passwords will be created and managed in accordance with our Password Policy, which establishes guidelines for creating and managing strong passwords.
d. Two-Factor Authentication
Where possible, we encourage the use of two-factor authentication to further enhance the security of our systems and data.
e. Least Privilege
Users will be granted the minimum access rights necessary to perform their job responsibilities.
f. Account Termination
When an employee’s employment is terminated or a contractor’s engagement ends, their user account will be promptly disabled to prevent unauthorized access.
g. Third-Party Access
Third-party vendors who require access to KIVO BPO’s systems and data will be granted access only when necessary and will be required to comply with our Third-Party Vendor Assessment and Data Access Policy.
h. Monitoring and Auditing
We will monitor and audit access to our systems and data to detect and prevent unauthorized access.
4. Enforcement
Any employee found to have violated this policy may be subject to disciplinary action, up to and including termination of employment.
5. Review
This policy will be reviewed and updated as necessary to ensure that it remains effective and aligned with KIVO BPO’s data protection objectives and controls.
